Actor Account How-To Guide
Use this guide to follow the full actor workflow in MasterCast, from first-time onboarding and setting up My Profile to finding companies, booking auditions, responding to callbacks and cast offers, managing account utilities, and using production tools after you are cast. Each section calls out what is on the screen, what each feature is for, and how to use it step by step.
Legend:
- Free: included in the free actor plan.
- Pro: requires Actor Pro.
Start Here: Complete Actor Onboarding
What you can do
- Create your actor profile the first time you sign in.
- Choose Free or Pro during onboarding.
- Complete the minimum details needed before the rest of the actor experience opens.
Subscription note
- New actor onboarding lets you choose Free or Pro.
- Invite-first actor onboarding starts on Free and then lets you continue into the actor site.
On this screen
- Step 1 is Your Details.
- Step 2 is Choose Plan.
- The final action is Create Profile.
Steps
- Sign in and open actor onboarding when MasterCast routes you there.
- In Your Details, complete Full Name, Stage Name if you use one, Email, Phone, City, Country, and State / Region.
- Select Continue to move to Choose Plan.
- Review the Free and Pro cards carefully before you continue.
- Choose Free if you want the base actor account, or choose Pro if you want higher media limits, extended profile fields, résumé generation, and the persistent conflict calendar.
- Select Create Profile.
- After the profile is created, open My Profile and continue with the full profile setup steps below.
- If you joined a company context first and later want actor tools, use Set up Actor Profile when that action appears in the navigation.
1. Set Up Your Actor Profile
What you can do
- Create and edit details in My Profile.
- Use the About, Experience, Headshots, Résumé, and Videos tabs.
- Keep your profile ready for submissions.

On this screen
- About is where you manage your main profile information.
- Experience is where Pro accounts maintain Acting, Technical, Education, and Awards history.
- Headshots stores your uploaded headshots.
- Résumé stores your uploaded résumé files.
- Videos stores your uploaded audition or reel videos.
- The page header can show Edit Profile and Upgrade to Pro actions depending on your plan.
Steps
- Open My Profile from the actor navigation.
- Start in About and select Edit Profile.
- Complete your core profile fields such as Stage Name, Full Name, Email, Phone, City, State / Region, Country, Emergency Contact, and Website.
- Save your changes, then return to About any time your contact or location information changes.
- If you are on Pro, complete the Extended Profile fields in About, including Bio, Union Status, Ethnicity, Vocal Ranges, Dance Ability, physical details, and Special Skills.
- Open Headshots and upload your primary headshot first. If you are on Pro, add additional looks so you have more than one option available for submissions.
- Open Résumé and upload your résumé PDF so you always have a current résumé attached to your account.
- Open Videos and upload audition footage, a reel, or any other video material you want available when a company requests video content.
- If you are on Pro, open Experience and work through the nested tabs:
- Use Acting to add stage or performance credits.
- Use Technical to add backstage or crew experience.
- Use Education to add training, programs, or coaching history.
- Use Awards to add recognitions you want on your profile.
- Use Generate Resume from Experience when you want MasterCast to build a résumé from your profile records.
My Profile tab-by-tab actions
- Experience:
- Use the nested tabs Acting, Technical, Education, and Awards to move between record types.
- Use Edit to switch the current experience table into edit mode.
- In Acting and Technical, use Add Acting Entry or Add Technical Entry to add rows.
- Use the Move up and Move down controls to reorder entries when the order of credits matters.
- Use Remove on individual rows when you want to delete one record.
- Use Save to keep your edits or Cancel to discard the current edit session.
- Use Generate Resume after your records are current if you want a profile-generated résumé.
- Headshots:
- Enter a title such as your primary look in the headshot title field.
- Use the image upload card to choose a
.jpg,.jpeg, or.pngfile. - Use Set Primary on the headshot you want companies to see first.
- Use Delete to remove a headshot you no longer want on the account.
- Résumé:
- Enter a résumé title such as
Musical Theatre Resume. - Drag and drop a PDF into the upload area or use the browse link.
- Review the uploaded date on each résumé card.
- Use Remove to delete an older résumé.
- Videos:
- Use the upload area to choose an
.mp4,.webm, or QuickTime video file. - Review uploaded videos in date order so you know which clip is newest.
- Use Remove to delete videos you no longer want available for submissions.
Tip: Keep at least one current headshot and one updated résumé ready before applying.
2. Find Companies to Follow
What you can do
- Discover theatre companies in your area.
- Follow companies so their auditions appear first in your search flow.
- Open public company profiles before deciding to follow.

On this screen
- Location controls let you set City, Country, State, and Radius.
- Apply Location refreshes results based on the location filters.
- Reset to Profile restores your profile location.
- The search box filters by company name.
- Each result row shows company name, location, distance, open audition count, and a Follow or Unfollow action.
Steps
- Open Companies I Follow from the actor navigation.
- Enter a City, choose Country and State if needed, and select a Radius.
- Select Apply Location to refresh the company list.
- Use Reset to Profile if you want to go back to the location saved on your profile.
- Use the company name filter when you already know part of a company name.
- Review each company row for distance and open audition count.
- Open a company profile if you want to review it before following.
- Select Follow on the companies you want to track.
- Use Unfollow later if you no longer want those auditions prioritized.
3. Find Auditions and Book an Audition
What you can do
- Browse available audition postings.
- Review role requirements.
- Book an audition or submit for a video audition directly through MasterCast.

On this screen
- Location controls work the same way as the company discovery screen.
- The search box is labeled Search by theatre, show, or role….
- Auditions are grouped into From Theatres You Follow and Nearby Theatre Auditions.
- Each audition row can show the show title, company name, location, distance, and role chips.
Steps
- Open Find Auditions from the actor navigation.
- Review the From Theatres You Follow and Nearby Theatre Auditions sections.
- Use the location controls if you want to widen or narrow your search area.
- Use Search by theatre, show, or role… when you want to filter the visible listings.
- Open an audition detail page for a show you want to pursue.
- Review the show card, description, synopsis, author or composer details, payment details, union details, and pro team information.
- Open the Roles tab to review the available roles and their details.
- Open the Audition Sides tab if the company provided audition materials.
- Open the Registration Form tab if the company uploaded registration documents for this show.
- Review the role chips and badges such as role type, age range, gender, vocal range, or pre-cast status.
- Select Book Audition for the role you want.
- In the booking flow, choose your role preference if more than one choice is available.
- Enter any conflict notes requested by the company.
- Review the session details carefully before saving your booking.
- If the audition is a video workflow, follow the video instructions and due date shown in the booking flow.
4. Manage Conflicts and Availability
What you can do
- Enter availability and conflict information.
- Keep production teams informed about schedule restrictions.

On this screen
- Pro accounts can use a global conflict calendar with click-to-toggle dates.
- Save Changes applies calendar edits.
- A show status area can indicate whether conflicts are still open or already frozen for a booking.
- Free accounts use booking-based conflict entry instead of the global sync workflow.
Steps
- Open My Conflict Calendar from the actor navigation.
- If you are on Pro, use the calendar grid and click dates to mark them as conflicts.
- Select Save Changes after updating the calendar.
- Maintain Global Availability so new bookings inherit your current conflicts until a show freezes them.
- Review Show Conflict Status for each booking to see whether the show is still open for sync or already frozen.
- Update your conflict calendar as soon as dates change so future bookings stay accurate.
- If you are on the Free plan, open the relevant booking from My Bookings and manage conflicts from that booking workflow instead of the global calendar.
5. Track Bookings, Callbacks, and Cast Offers
What you can do
- Review your audition schedule.
- Follow updates in My Callbacks and My Casts.

My Bookings
- Upcoming shows your current auditions.
- Past shows completed audition bookings.
- Booking rows show show, company, date, time or video due date, role preference, and cancellation actions when available.
My Callbacks
- The callback list shows the show, roles, sent date, and View Details.
- Callback detail pages can include status badges, role response checkboxes, callback times, sides, and notes.
- Bulk actions can include Mark All Accepted, Mark All Declined, and Save Responses.
My Casts
- The cast list shows show, company, roles, sent date, and a detail link.
- Cast detail pages can include role response checkboxes and a Production Hub button after acceptance.
Steps
- Open My Bookings to review your audition schedule.
- Use Upcoming to confirm active audition times and Past to review completed auditions.
- If you need to cancel an audition, use the available cancel action and confirm the cancellation in the modal.
- Open My Callbacks when a company moves you to the next round.
- Review the callback list and select View Details.
- On the callback detail page, review the show header, status badge, callback times, sides, and performance notes.
- Mark the roles you are accepting for callback.
- Use Mark All Accepted or Mark All Declined if that is faster for your response.
- Select Save Responses to confirm your callback choices.
- Open My Casts when a company sends a cast offer.
- Open the cast detail page and review the show information, role list, and current acceptance state.
- Mark the roles you are accepting for casting.
- Use Save Responses to confirm your cast-offer response.
- If a role is accepted and the show opens production access, use the Production Hub button from the cast detail page.
- Keep My Profile current while you are still auditioning so future submissions stay up to date.
6. Use Production Tools After You Are Cast
What you can do
- Access production updates for shows where you accepted a cast offer.
- Review calendars, files, and other production information.
- Participate in costuming workflows when the show and plan include them.

My Production Hub
- The main list shows each accepted show, company, your roles, and Open Hub.
- Use it as the starting point for every show where you are already cast.
Production Hub
- Actor access includes Feed, Calendar, Costuming, Files, and Mending Requests.
Steps
- After you accept a cast offer, open My Production Hub from the actor navigation.
- Use Open Hub on a show row to enter that show’s Production Hub.
- Start in Feed to review announcements, updates, and the most recent production communication.
- Open Calendar to review rehearsals, calls, and other production dates.
- Open Files when you need shared documents or downloads.
- Open Costuming to review your measurement and fitting schedule for the show.
- Open Mending Requests if you need to review costume repair requests tied to your production access.
- Check announcements, schedules, and files regularly during production so you stay current.
Costuming steps for actors
- Open Costuming in Production Hub when your production team schedules measurement or fitting appointments.
- Review each row in Costuming Schedule for appointment type, date, location, and role.
- Open Mending Requests to review any repair requests associated with your role.
- Return to these tabs regularly for schedule updates and new requests.
7. Manage Your Subscription
What you can do
- Stay on Free or upgrade to Pro.
- View your current tier and billing state.
- Resume or cancel Pro according to billing-cycle rules.

Steps
- Open Billing & Subscription.
- Review your current tier and any status badge or alert shown on the page.
- If you are on Free, use the upgrade call to action to start Pro signup.
- Use View Actor Plans or open Plans & Pricing to compare Free and Pro.
- Review the feature list on each card before choosing a plan.
- Choose upgrade, resume, or cancellation actions as needed.
8. Manage Account Utilities, Notification Emails, Support, and My Callback Sides
What you can do
- Review callback-side documents shared by casting teams.
- Choose which MasterCast events send email notifications.
- Review your account summary and jump into profile actions.
- Submit support and feature requests and follow admin updates.

- My Callback Sides groups shared callback-side files by show.
- Email Preferences contains the Notification Toggles table and Save preferences.
- Account Settings shows Profile Information, quick actor-profile links, and Change Password.
- Support Center contains Feedback / Feature Request and Technical Support forms plus request-history tables.
Steps
- Open My Callback Sides when a company shares callback documents with you.
- Review each show section, the file name, whether the side is Role-specific or All roles, and the Available Since date.
- If you do not see a side yet, return later after the company uploads and reveals it.
- Open Email Preferences from the actor navigation.
- In Notification Toggles, turn email categories on or off for Audition lifecycle updates, Booking reminder (24h), Callback updates, Casting updates, Production Hub new post, and Costuming updates.
- Note that Sign up and account security stays enabled and cannot be turned off from this page.
- Select Save preferences to apply your notification changes.
- Open Account Settings to review your current Stage Name, Email, Legal Name, Phone, Location, and Tier.
- Use Edit Profile when you want to change actor details, or View Profile when you want to review the public-facing profile view.
- Use Change Password when you need to start the password-reset flow.
- Open Support Center when you want to send a feature idea, workflow feedback, bug report, or technical support request.
- In Feedback / Feature Request, enter Subject and Request Details, then use Submit Feedback Request.
- In Technical Support, enter Subject and Issue Details, then use Submit Technical Request.
- Review My Feedback Requests and My Technical Support Requests to track Status and the Latest Admin Update.

- Open the page to review all currently shared side files.
- Check whether each file is Role-specific or All roles.
- Return after callback updates when a company shares new materials.

- Pro mode:
